103 Building consent RFI data

Requested information about building consent RFI data.

What we're requesting

For all building consent applications lodged with Mackenzie District Council between 1 January 2024 and 31 December 2024:

  1. For each building consent application that received one or more Requests for Information (RFIs), a copy of the RFI letter(s) issued, paired with the drawing(s) or plan set the RFI relates to.
  2. Any standard reporting your consenting system already produces that covers this data.

If your building consent team uses GoGet (or a related product from the same vendor), several councils we've contacted hold this data in three standard exports:

  • WhichQuestionsGeneratedTheRFIs
  • RFILettersIssued
  • GrantedBCsAndAmendmentsWithRFIs

If these (or equivalents) exist in your system, we would be grateful if you could run and provide them rather than compiling the information manually, as this is a canned report rather than a bespoke extraction.

Fallback if the above is declined

We understand a full data export may be refused or require substantial collation under section 17(f). If that's the case, we would appreciate the following instead:

* The full RFI letter(s) and the associated drawing(s) or plan set, for a sample of approximately five residential building consent applications from the requested period. We’d prefer applications that received multiple RFIs (three or more if possible), ideally a mix of new builds and alterations.

We're pre-authorising this fallback now so a second round of correspondence isn't needed if the primary request can't be met in full. If more than five can be provided at no charge, we’d welcome as many as you’re able to share.

Format

We're happy to receive this in whatever format is easiest to produce (CSV, PDF, etc).

Timeframe

We understand you have 20 working days to respond under section 13 of the Act. Please let us know if you need to extend this or if any part of the request needs clarifying.

Response:

Council does not use Goget and therefore the initial portion of your request for reports is refused under LGOIMA section 17(f): that the information requested cannot be made available without substantial collation or research. Therefore, as per your request we are supplying five residential building consent applications from the requested period. Due to the size of these files, they will be sent via wetransfer following this email.

Note: Due to their size, the attachments are available on request to LGOIMA@mackenzie.govt.nz
